What is the My Prospect Alerts - Recent Gifts and Pledges Report?

The “My Prospect Alerts - Recent Gifts and Pledges Report” produces a list of all pledges, outright gifts, planned gifts, and pledge payments made by prospects in a specific development officer’s portfolio within a date range. The main purpose of the report is to provide accurate and timely information to a development officer so they are aware of gifts made by their prospects to any unit/department. This is a self-service report available to WFAA development officer staff, and campus users who have the Prospect & Plan Management role. This report does not replace the Donor Stewardship Report as the tool for generating acknowledgements by unit and department.

How to access the My Prospect Alerts - Recent Gifts and Pledges Report

  1. Log in to ABE CRM.
  2. On the navigation bar, click Prospects.
  3. Click the My Fundraiser Page
  4. Click the My Prospect Alerts tab.
  5. The Entered Start Date and Entered End Date will automatically populate to the last two weeks. You may edit the date range, and click View Report to see gifts entered in a different date range. This report pulls transactions based on the date entered by Gift Processing.
  6. The Fundraiser field will default to current user, and may not be edited. This report pulls donors for whom the fundraiser is a primary or secondary plan manager.

How to interpret The My Prospect Alerts - Recent Gifts and Pledges Report

What is included in the report? This report includes gifts, pledges, pledge payments, planned gift commitments and corresponding payments. If multiple transactions are made by a single donor within the date range, they are grouped together in the repor

The list of prospect alerts is based on active plans where the development officer is a primary or secondary plan manager, or secondary solicitor. Additionally, it includes active plans where the development officers is a step owner or additional solicitor. If the prospect received recognition credit for a gift, they will be included in the report. For example, DoD A has a plan for Ms. Smith and DoD B has a plan for Mr. Smith. Ms. Smith makes a gift and her spouse Mr. Smith receives recognition credit. Both DoD A and DoD B will see this gift appear in their alerts.

Lookup ID/ Spouse Lookup ID

The constituent’s ABE Lookup ID. This is a hotlink – click on it to navigate to the constituent’s ABE record. *Use right click/”Open link in new tab” to avoid navigating away from the report page.

Donor Directed Organization

The organization that made the gift on the donor’s behalf. This field is a hotlink – click on it to navigate to the organization’s ABE record. *Use right click/”Open link in new tab” to avoid navigating away from the report page.

Date Entered

Date the transaction was entered by Gift Processing into ABE CRM

Transaction Date

Date associated with when the gift was received, indicating when the donor received credit

Recognition Amount

The amount of the gift, excluding the amount of any benefits received by the donor

Transaction Type

The type of gift received.

·         Payment: an outright gift

·         Pledge: a new pledge commitment

·         Pledge Payment: a payment applied to a pledge

·         Planned Gift: a new planned gift commitment

·         Planned Gift Payment: a payment applied to a planned gift

Revenue ID

Provides a hotlink to the revenue transaction in ABE. *Use right click/”Open link in new tab” to avoid navigating away from the report page.

Fund Number

The fund number associated with the fund to which the gift was made

Fund Name

The name of the fund to which the gift was made
